Privacy Policy

This page explains our privacy policy, which is based on the requirements of the European Union’s General Data Protection Regulation EU 2016/679 which were been incorporated into UK law in Data Protection Act 2018..

Whose data we hold

We hold personal data on four categories of individual:

  1. Trustees
  2. Associate Members
  3. Those who have made a donation to NMWMT either online or offline
  4. Other people who have chosen to be on our mailing list, either by completing our online forms, or by email, or by offline communication.

Trustees

The Trustees are listed on the page Meet the Board. Before a person becomes a Trustee, we obtain the following information:

  • Full name
  • Photograph
  • Residential address including postcode
  • Telephone number
  • Email address
  • Any additional details, such as date of birth, required by the Charity Commission, by HM Revenue & Customs, or by financial institutions that NMWMT must deal with.

Associate Members

The Associate Members are listed on the page Associate Members. Before a person becomes an Associate Member, we obtain the following information:

  • Full name
  • Photograph
  • Telephone number
  • Business address
  • Email address

Those who have made a donation to NMWMT either online or offline

For both online and offline donations, we are required to obtain data on the donor that allows us to fulfil our legal obligations to prevent money laundering. This includes some or all of the following information:

  • First name
  • Last name
  • Telephone number
  • Postal address
  • Email address

 

For particularly large donations, we may request additional information for anti-money laundering reasons.

Online donations are dealt with by the organisations that act as our payment processors in accordance with the regulations that apply to them. We do not receive credit or debit card details from our processors.

For offline donations, we do not retain credit or debit card details.

Other people who have chosen to be on our mailing list, either by completing our online forms, or by email, or by offline communication.

We obtain the following information:

  • First name
  • Last name
  • Email address
  • Telephone number if voluntarily supplied

How we hold the data obtained

The original paper copies for information supplied on paper are retained in our paper files to evidence how we received that information. Similarly, we retain on our electronic files any electronic requests to join our email list.

Our mailing list is kept in an online database by our mailing services provider, which is currently Mailchimp. Access to the Mailchimp files is limited to those of the Trustees who need to manage the mailing system, and to any members of NMWMT staff who are asked to help to manage the mailing system.

How we use the data held

For Trustees and Associate Members, their names, photographs and biographies are published on our website.

The sole use of the electronic email system is to send emails about NMWMT news, forthcoming events, and similar activity.

Each broadcast email we send contains a reminder that you can write back to us to if you wish to be removed from our email list and when sent using Mailchimp contains an unsubscribe link.

Where donations are made to us under the Gift Aid scheme, we will supply to HMRC the data HMRC require for Gift Aid tax refund claims.

We never share any of the data that we hold with any other organisation, except where required by law.

Obtaining a copy of the data we hold for you

If you would like a copy of the data that we hold for you, please send us an email to request it. If you write from the email address which we hold for you, a copy of your data will be sent as soon as possible.

If you contact us otherwise, we may request additional information to validate that you are indeed the person who you claim to be, before releasing a copy of the data that we hold.
